JOB TITLE:  STUDENT INFORMATION SYSTEM COORDINATOR

 

GENERAL STATEMENT OF JOB

 

Coordinates and oversees the District’s Student Information System (SIS) including the proper enrollment of students and the integrity and smooth operation of the Student Information System. The SIS Coordinator collaborates with various local and state agencies to secure relevant information and submit required forms. The SIS Coordinator oversees all aspects of student enrollment, manages the school’s student information database, runs queries to extract information, coordinates data reporting to the North Carolina Department of Education (NCDPI), and trains/supports users, working closely with all school stakeholders. The SIS Coordinator supports the Office of Accountability and Assessment in ensuring timely and accurate data. The SIS Coordinator serves as a liaison with school personnel, provides training and assistance to school-level data managers, and ensures the coordination and execution of all data transmittals to the NCDPI.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Coordinates with district department heads, Principals, and School Level Data Managers to ensure all PowerSchool data requests, reports, and information are disseminated accurately.

 

  • Coordinates with Principals, Guidance, and Student Information Clerks to ensure that all data entry is completed accurately and in a timely fashion. Serves as a liaison between district and school-level program administrators to ensure accurate, thorough, and effective use of data.

 

  • Assists with and/or corrects data entry as necessary and where appropriate.

 

  • Performs all necessary activities related to data extraction and reporting for district, state, and federal accountability and requirements, including but not limited to data entry, review, verification, and extraction of student attendance records.  

 

  • Provides data extracts for district instructional software, testing, and grant development. Responsible for transmitting all data reports to the NCDPI.

 

  • Updates the PowerSchool program to maintain the latest versions of all modules/components and NCDPI changes.

 

  • Creates training materials and delivers school-based training, participates in district-wide meetings, training activities, and the distribution of appropriate information. Meets with Data Managers, High School Registrars and/or Attendance Clerks, and other district personnel regularly to discuss and resolve various data management issues.

 

  • Supports and troubleshoots all supported SIS Plug including instructional technical support system
  • Assists schools in resolving scheduling issues.

 

  • Willingly performs other duties as assigned or requested.

 

 

 

EDUCATION and/or EXPERIENCE:

Bachelor’s Degree requires Experience with Student Information System. Minimum of three years’ experience using relational databases, computer applications in an office environment, or a post-secondary degree in computer applications with some relevant experience; or an equivalent combination of education, training, and experience. Experience with the PowerSchool Student Information system, training, and supervision, or classroom instruction experience in technology training preferred. Strong problem-solving skills are desired. Strong Microsoft Excel and computer coding skills are a plus.

OTHER SKILLS & ABILITIES:

 Ability to operate a personal computer and related software, including Microsoft Excel Word, and email.  Ability to communicate clearly and concisely, both orally and in writing, using proficient grammar and spelling rules.  Ability to maintain effective relationships with the public, other staff members, and school employees. Ability to organize and implement a flexible work schedule to meet reporting deadlines. Ability to self-monitor and manage multiple tasks while working individually and with members of a group. Ability to submit all requested reports and documentation promptly and by scheduled deadlines.  The position requires meeting deadlines and interacting with faculty, staff, and administrators. Some extended hours and multiple demands are required of the employee – with prior notice and approval by the supervisor if hours extend beyond the work day. 

 

PHYSICAL DEMANDS: 
 

 While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, listen, and/or reach with hands and arms.  Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus. Some driving is required.  Frequent writing and the use of technology are required.  Occasionally the employee will type for long periods. 

 

 

TERM OF EMPLOYMENT: 

12 Months

 

 

EVALUATION: 

The performance of this job will be evaluated annually according to Board Policy.
