Job Title:  Administrative Assistant for Curriculum & Instruction

Reports to:  Assistant Superintendent

 

Essential Job Functions

Performs a wide variety of duties to assist the Assistant Superintendent and Academic Services Team in implementation of long-term and short-term district goals and foci to all staff, students and parents

Assistant to Assistant Superintendent

  • Prepares travel/staff development forms
  • Schedule appointments, setup meetings, trainings, and workshops called by assistant superintendent
  • Manages mail, screens and routes materials according to subject
  • Makes sure all correspondence/questions from and for principals, teachers, staff, students, parents and community are addressed
  • Gather, compile and prepare annual field trip requests and projections from schools
  • Gather, compile and prepare annual fundraiser requests and projections from schools
  • Prepare reports/presentations concerning the district for the Board meetings, trainings, and/or workshops
  • Design and/or order office, staff development, staff appreciation and student supplies and awards for the district
  • Collect, compile and prepare district textbook and resource projections reports and analysis of budgeted needs; maintain textbook budget/files
  • Order and distribute textbooks and resources
  • Research educational companies, gain quotes, negotiate pricing for supplies, textbooks, teacher resources and presenter contracts
  • Organize and compile Academic Services Team annual projected budget request
  • Monitor Academic Services Team budget and expenditures
  • Assist with the ordering of supplies and/or resources, submitting workorders and technical support requests for the Alternative Learning Program
  • Organize contracts for speakers, presenters and trainers for workshops and professional development
  • Annual Convocation – assist with the organization of the event from setup to breakdown; confirm the speaker; design and print the program agenda; and staff back to school gifts

 

  • Maintain and manage all district travel/professional development and field trips
  • Attend meetings and takes minutes when necessary
  • Maintain calendar of events for the Academic Service Team members
  • Assist parents with school related concerns, offer educational resources, partnership information and refer to proper personnel for resolution
  • Create walkthrough summary reports and forms
  • Maintain school textbook /teacher resource inventories
  • Collaborate with district departments to enhance school environments
  • Assist with all testing and accountability responsibilities including
    • attendance at all testing and accountability training
    • creating, organizing, and submitting, testing and accountability reports and information in a timely manner

Additional Duties

  • Meet with department directors regularly, to discuss smooth operations of department specific programs, events, workshops, and trainings.
  • Enter purchase orders for all supplies/refreshments for afterschool and summer camp programs
  • Organize and sort supplies
  • Mail Duty (monthly)
  • Performs additional duties as assigned by supervisor(s)
